If you’re a trucking company, you should know that it’s critical to have a business plan.  Many trucking companies have business plans for 1 to 3 years, and 5 years with specific goals and objectives. Those goals and objectives are made clear to all of their employees, then adjusted, based upon market conditions and hope to achieve a desired result.

However, I’ve worked with many business owners who simply don’t plan. In some instances, no matter how long they’ve been in business, they don’t have a solid business formula for success. It’s critical that, if you want to expand your business re-energize your business you need to start by having a plan.

For many, that seems very time consuming and frustrating, but that’s why many trucking companies, today, are facing financial challenges.  For instance, they don’t understand their cost, they don’t operate their business utilizing cash flow management or review or receive their financial data on a weekly and monthly basis.  In addition, they don’t monitor truck utilization the way they should, and then wonder why they’re in trouble.

When you start a business, there are normally many things that go through your mind. However, one of the goals is to obtain financial security. To reach that end, you need to know exactly where you want to go, how long it’s going to take you to get there and what obstacles you may encounter along the way.

A business plan provides a detailed “road map” to turn your desires into a reality. Granted; business plans take a lot of time and energy to write, but the time is well worth the efforts. Particularly if you’re expanding, or you need to borrow additional working capital for your business.

A business plan walks you through every aspect, every question mark, helping to make sure that you have considered every important factor and not overlooked anything significant. When you’re developing a business plan, some details may seem insignificant, but they are not.

Trucking is a pennies business. Trucking is a cyclical business. There are many factors that trucking companies can’t control such as;

1.    Fuel cost;
2.    Accidents;
3.    Insurance premium increases.
4.    The weather, and;

5.    The economy.

However, knowing that you have numerous variables that can directly impact the success or failure of your business, you need to plan for both the highs and lows of our industry – yet, many trucking companies do not. They wait until it’s too late, or they simply bury their heads in the sand and figure that, if they work hard, the rest will take care of itself; a great philosophy, but not a reality.

Many people ask me, “How can a business plan help them succeed?” My answer; it forces you to take a close look at your business and yourself and set specific goals and objectives.

Not every idea makes economic sense. Business plans also set a time line for results and it forms a basis for a company to hold their employees accountable, for their respective jobs.

Some of the things that I’ve noticed in my consulting practice is that employers expect their employees to perform but they do not provide them with specific goals and objectives or with specific time frames in which to accomplish the goals and objectives.  Plus, if the employee doesn’t perform or meet their expectations, it is assumed it is the employees fault; maybe yes, and maybe no!

In this economic environment, it’s imperative that employees become assets and not liabilities. Trucking companies have enough liabilities and they certainly do not need more liabilities with their employees.

In essence, a written business plan acts as a resume of your company, a tool for introducing your business to bankers, customers, vendors and it defines who you are or who you want to be. For many companies, it’s very difficult to differentiate profits from cash. Believe it or not, you can have a profitable company that’s going broke. I know it sounds crazy but it’s true and very common. Just because a company is making sales and creating orders, doesn’t mean that the cash is coming in.

When you look at the financial condition of the trucking industry today, its clear that shippers are extending credit terms whether you like it or not. You may dispatch a truck and not get paid for 45, 60, 90 days–that’s 45 – 90 days after you’ve created the invoice and sent it to the customer.

Meanwhile, you still need to pay all of your overhead. The idea of a business plan is to have more cash flowing in then out of the business, and at the same time, planning for the inevitable financial challenges.

To ensure your company’s future survival, you need to be prepared for anything. Changes occur all the time and a business that keeps up with the economy is the one that will survive.

However, before you can figure out how to deal with upcoming challenges, you first have to identify what they could be and where they may come from. This task requires some insight and imagination, but it also takes experience. If you don’t believe that you have the expertise to be able to determine market conditions, get help and talk to some of your “mentors” in the industry.

One practical way to address potential challenges so you can adjust to them, most easily, is to perform an analysis of your company’s strengths, weaknesses, opportunites and threats.

The first two, strength and weaknesses, describe your company’s internal state of affairs. The last two, opportunities and threats, define what potentially exists for your company to grow and potential pitfalls that can cause failure.

If you want your business to succeed, in a highly competitive world, you must define and separate it from all your competitors. That means taking an honest look at your strong points and weak points, and recognize the factors outside your direct control that can influence your business.

To perform a successful analysis, you need to look at your business with a detached, realistic mind. Keep your points brief, use phrases not paragraphs, and come up with specifics for each category that define why your trucking company or logistics company differentiates you from your competitors.

A business plan is the beginning of the process, and over the next several weeks, I will discuss in greater detail.

In the meantime, as you are preparing to analyze your business, be realistic about you as an individual.  Continually review your strong and weak points and recognize that no person is perfect, no company can do all things perfectly, and define your weaknesses.

Once you’ve accomplished this task, it is the beginning of “the process”.

Most companies have an acceptable usage policy (AUP) for electronic communications, but how comprehensive is yours and how vigorously is it reinforced? Can organizations be confident that they have the measures and controls in place to assess all the risks associated with uncontrolled electronic communications content?

A seemingly innocent message is all it takes. A poor taste joke could end up resulting in your organization being slammed with claims of sexual discrimination, harassment, defamation or worse.

… not forgetting the legalities

Allowing unwanted email to reach your people goes beyond the issue of hindering productivity. There are now laws on both sides of the Atlantic to expose employers to charges of liability and harassment. These charges can be brought even if the harassment comes from a faceless, unknown global Spammer.

Unaware of having to shield your employees is no excuse in the eyes of the law. Taking these issues lightly with a low end solution for Viruses, Spam, Sexually Explicit Material, Unwelcome Content etc will not protect employers from litigation.

Online security is paramount for Business continuity!

In the business sphere where it’s vital to focus attention on core activity, the web and email should be valuable, progressive tools for businesses. Poorly protected however, they can become costly, timely, and dangerous, as well as draining resources and hampering employee’s productivity

How you ask?

Well, research suggests that unwanted email currently accounts for between 65 and 90 per cent of traffic each day.

For businesses, this volume of unwanted spam is undoubtedly a drain on valuable time, effort and resources, ultimately distracting from the business’ prime focus.

Given the constantly evolving state of the internet and the sophistication of the latest emails scams and viruses, businesses must have multiple safeguards in place to ensure they are adequately protected. Previously this would have demanded acquiring a range of hardware and software. That’s is fine for larger companies that can afford a raft of IT specialists to handle the numerous issues aligned to operating systems, software versions and integration but understandably the vast majority of SME’s simply don’t have the resources.

Remember, email is a quick an effective means of communication and is as legally binding as any other official document, but as a business you can’t ignore the risks!

Spam, viruses, malware, identity theft and phishing scams are all very real and very common, threatening business continuity regulatory compliance, reputation and the overall business name and brand.

Emails carry threats that damage efficiency, productivity, reputation and brand value. These threats are highly sophisticated and constantly evolve to target your organization. Effectively your entire network can be compromised by just one infected message or ‘bad’ web link.

So come on… don’t leave it to chance, there aren’t many restaurants without a generator…. :)

Over fifty percent of all newly created small businesses have gone belly up within five years, and most of those that survive are just barely doing so.  They limp along, year after year, making just enough of a margin to stay in business but never managing to generate enough capital for the improvements, upgrades, or expansions that would allow them to move to the next level.  But there are, of course, also new small businesses that seem to be super-charged.  They may begin with one or two people working out of a home office, garage, kitchen, or even a local coffee shop, but the next thing you know they’re employing dozens or even hundreds of people and their offices or products are everywhere.

What makes the difference?  Why do some small businesses take off while others languish or die?  This is obviously a huge question and there are plenty of small business gurus who make a great deal of money selling all kinds of answers.  But there is one part of the answer that is simple and clear: in order to succeed, a small business must have an effective system of contact management.

 

 

Why Small Businesses Need a Contact Management System

 

It’s surprising how many small business operators are trying to manage their contacts—with clients, suppliers, sub-contractors, team members, and more—with little more than the Contacts function on their smart phone and the In Box of their email server.  In fact, some are trying to get by with nothing more than a wallet bursting with business cards they’ve collected and a good old fashioned day/date book.  If you are blessed with a very good memory, this kind of “system” may suffice to just barely keep your business afloat.  But it is obviously inadequate for any business that hopes to grow and thrive.  Most office suites do come with a few standard contact management tools, which are often pre-installed. At the same time, most email systems also include a few contact management basics. But are these routine default systems adequate for a small business? Usually not. They do have some marginal utility for tracking names and addresses, but the lack of integration with other systems is problematic. A full-featured contact management system is essential for a small business.

To see why, think about a few of these kinds of scenarios.

You come across a name and some contact information, but you can’t for the life of you recall who the person is or what kind of business, if any, you did with them.
You would like to engage in up-selling or cross-selling to some of your existing clients but you have to riffle through old records to recall what products or services they have already purchased.
Every time you need to compile a grouping of your contacts—by area in which they live, products or services they have purchased, services they offer, companies for which they work, etc.—you have to manually make your way through your entire contact list (and you’re very likely to miss someone).
You would like to send targeted promotional materials or announcements of special opportunities to some of your clients, but you have no simple way of generating a list of only those clients for whom the materials are relevant. So you either don’t send the materials at all, or you incur unnecessary costs sending them to all of your contacts.

These are just a few of the kinds of problems that confront a small business operator who is trying to get by without an adequate contact management system. And it’s easy to see how these kinds of problems can seriously hobble a small business. They result in lost opportunities to generate new clients, lost opportunities for sales to existing clients, and tremendous drains on time and resources.

Most Important Features of an Effective Contact Management System

It is clear, then, that any small business that aims to succeed will need more of a contact management system than a simple list of names followed by addresses and phone numbers. An effective contact management system for a small business should possess the following basic features.

Clear Presentation of all Relevant Information:
Yes, the name, phone numbers, and addresses of all contacts are essential. But they are only the beginning of the relevant information that a small business will need. In regard to customers of the small business, the types of additional information that are likely to be most relevant include: detailed records of all products or services purchased, further products or services the customer may appreciate, notes and information on transactions or projects with the customer (both those that are currently in progress and those that have been completed), names of the team member(s) who are directly dealing with the customer, notes on any feedback the customer provided or any special needs or preferences the client has expressed, and the like. In regard to individuals or companies that are actual or potential suppliers or partners of a small business, the types of additional information are likely to be most relevant include: the specific services provided, the cost of those services, any notes on the transaction or points of importance for future transactions, and the like.

In addition to providing a format for gathering, recording, and viewing all of this type of relevant information about business contacts, an effective contact management system will also, of course, make it easy to edit and augment information as needed. After all, information about your business contacts is of little value unless it is kept up to date.

Grouping and Filtering Capacity: 
Once all of the most relevant types of information about your business contacts have been recorded, you need to be able to access that information easily and to employ it intelligently. An effective contact management system makes this easy by allowing you to group information according to important categories and also to search that information using different filters.

Here is where small businesses will really begin to see the benefits of a first class contact management system, for it effectively eliminates all of the problem-scenarios that we considered earlier. For example, when you are able to group all of the customers who purchased a specific product, it is easy to customize your efforts at cross-selling or up-selling as well as to target promotional material.

But the benefits of easy grouping and filtered searching are not limited to dealing with customers. They apply equally to dealing with suppliers, subcontractors, and the like. Suppose, for example, that your business has a printing project it needs completed. A well designed contact management system will allow you to bring together all of the printing companies with whom you have done business, to review your notes on their performance and the record of the cost, and then to use this information to decide who you will use for the current assignment.
